General Information:
Reporting to the Manager of Operations Integration and Information Management, this position is primarily responsible for providing level one SharePoint support to project teams. Project teams use SharePoint to support four functions; transmittals, document review and approval, collecting project information using forms and collecting, indexing and storing project documents. Following established processes and templates SharePoint sites and/or subsites are created and customized for each project. Access permissions are established for both internal and third-party users. SharePoint sites are maintained, monitored and scorecarded to ensure alignment with company polices and guidelines. Concerns and/or questions related specific SharePoint requirements are reviewed with relevant stakeholders and judgment is used to determine when concerns require escalation.
Responsibilities:
Request creation of project SharePoint sites based on information provided by project teams;
Ensure stakeholders are aware of requirements related to the use of SharePoint sites;
Customize SharePoint site templates including the addition of InfoPath forms and setting site permissions to ensure project requirements are addressed while confirming site layout and functionality complies with company policies and guidelines;
Create subsites for third parties including setting up and maintaining permissions within project SharePoint sites to allow controlled and secure exchange of documentation and information;
Provide training and/or support to third parties to facilitate access to project sites;
Work with project document control resources to setup workflows to facilitate document review and approval. Workflows must conform to company policies and guidelines;
Work with project document control resources to customize master document register templates to facilitate accurate and efficient metadata entry;
Support project teams by addressing SharePoint questions or concerns. Escalate questions, concerns or opportunities for improvement to second and third level SharePoint support when required;
Report and scorecard on SharePoint use and conformance with requirements
Qualifications:
Fundamental understanding of permission management and SharePoint best practice
Advanced knowledge of SharePoint Workflows
Experience with designing and implementing InfoPath solutions
Knowledge of the Power Platform (Power Automate, Power BI and Power Apps)
Strong interpersonal, influencing, and communication skills;
Ability to effectively manage multiple and conflicting priorities;
Self-starter with a pro-active approach to problem identification and resolution;
Self-motivated and able to work with minimal supervision and complete tasks independently
General understanding of overall project stage gates and project management methodologies;
Strong skills in Microsoft Excel and WORD;
Education/Experience:
Requires post-secondary education, typically a university degree, with 3 to 5 years of experience. Equivalent combination of education and experience may be considered.

Duration: Expected to be 12 months with extensions possible.
