JOB Description:
· Become familiar with digital capabilities, and solutions delivered by the program
· Validate that program milestones are met according to approved timelines and project plans
· Develop / manage relationships/expectations with internal and external stakeholders
· Collaborate with procurement and other key stakeholders on contract matters
· Work with business office to develop Memorandums of Understanding (MOU)
· Handle statement of work (SOW) signature path
· Work with program senior leadership and designees to monitor and report on program health metrics
· Track Purchase Orders against cash and appropriations
· Negotiate/manage support estimates with Managed Services Provider
· Validate accuracy of invoices based on state and program requirements; provides periodic reports on same
· Monitor vendor SLA / SLO process compliance and overall compliance
· Support program leadership consolidating, tracking / documenting, and storing (for future use) key metrics
· Support development of financial and operational reports for program leadership
· Support documentation of program-related processes and other program /technical documentation as needed
· Support preparation for and documentation of internal / external meetings with stakeholders: proofreading materials, document finishing, preparing and distributing meeting minutes and action items; conducting follow-up on action items, as appropriate
· Liaise with state and vendor team members as needed for completion of assigned activities
· Provide a high level of administrative support for the digital capabilities and solutions program team, primarily taking direction from state program leadership
· Support management of program information using the program’s online resources (e.g.Atlas)
· State point of coordination for activities related to the onboarding and off-boarding of program / project resources
· Serve as the point of coordination for scheduling and preparing for meetings and working sessions; communicating with meeting stakeholders as needed prior to and after the fact
· Screening and responding to incoming correspondence
· Perform other administrative tasks as assigned using independent judgment and discretion
· Other duties as assigned.
Qualifications:
· Bachelor`s Degree or equivalent
· 6+ months of State Financial or Procurement experience
· Ability to complete complex tasks and projects quickly with limited guidance; react with appropriate urgency to situations that require quick turnaround; take effective action
· Ability to prioritize multiple requests; ability to handle ambiguity
· High level of integrity and discretion in handing confidential information, and professionalism in working with senior professionals within and outside of the program
· Ability to think, plan ahead, and coordinate meetings and working sessions
· Ability to facilitate communications across and outside of the program
· Experience coordinating group logistics, managing multiple complex calendars, and scheduling requirements
· Strong attention to detail
· Demonstrated ability to handle confidential information and maintain the security of records and files
· Experience working with / understanding of nuances of working within Federal, State, or Public sector entities, HUGE a plus
