Job Description
Travel Planning and Arrangements – includes researching, planning and booking all aspects of itineraries to include travel modes, hotels, local transportation, etc.
Calendar Management – scheduling and oversight of calendars and contact lists.
Research/Special Projects – Conduct and compile research and any special projects, as needed.
Expense Reports – Expense report submission.
Invoice Processing – Process invoices to Accounts Payable
Time Sheets – Submit weekly timesheets for SVPs
Oracle Monitoring – Monitor SVP''s Oracle for expense, invoice and miscellaneous approvals.
Meeting/Event Planning – From time to time involved in or lead the planning of on and off-site meetings and events.
This can be as basic as just finding a venue or as complicated as finding the venue, doing all travel, after hours entertainment, etc.
Meeting Minutes – Sit in on weekly global staff meetings and take minutes, keep task/agendas and update weekly from minutes. There is also follow-up involved with action items.
Daily Report of Invoices – Monitor and follow-up with individuals who have outstanding invoices waiting for approval in their Oracle queues. Follow-up criteria are 2-4 days and also based on whether it is someone who is a repeat offender of slow approvals.
Desired Skills and Experience
The candidate should also possess the following experience & characteristics:
Microsoft Office suite to include Outlook, Excel, Word, PowerPoint and Access.
Experience with travel planning and booking, meeting planning and calendar management.
Professional who is detail oriented, strong self-starter, ability to multi-task, adaptability and flexibility, must be able to work with minimal supervision, and experience in a global company working with diverse
