Project Coordinator

Location: Berkeley, CA
Duration: 4-5 months

Description:
Provides technical and administrative support to project manager(s Formats documentation, including creation of templates and shell files. Creations Adobe files and CDs as necessary. Uses variety of software tools sufficiently to support all aspects of the project. Responsible for final assembly and quality of printed materials. Assists with logistics for arranging off-site and department meetings. Assists in maintenance of libraries, databases and graphic management logs. Assists with development of general graphic designs to enhance technical documents. Expert knowledge of MS Word, Project, Excel, PowerPoint and Visio. Ability to resolve problems without delay and/or to seek managerial intervention and operate under stressful, time-sensitive deadlines.

Experience Level:
BA or BS preferred plus minimum 3+ years of direct relevant experience.

Procurement of medical equipment ( One Link )

Duties:
Supporting 16 Clinical Engineers in the creation of Purchase Requisitions for medical equipment for our NCAL Region based out of our Berkeley Program Management Office
Individual will utilize our procurement tools ( "OneLink”, PeopleSoft/Oracle product) and will need to translate medical device quotes into the required requisitions fields including all required data fields.
To complete purchase records, individual will need to collect data from various sources of information regarding the vendor, equipment, accounting codes, shipping information, approvers, and receiving contacts.
Individual will need to follow procedures for documenting and reporting purchase requisition work.
Individual will need to work with the Clinical Engineers and other PMO team members to solve problems and move projects forward to meet performance goals.
Individual will need to be capable of independent work, ensuring that projects are completed on schedule, and escalate issues proactively to ensure engineers and leadership can address delays or issues in a timely manner.
Individual will assist in reporting and tracking of overall purchase activities for the PMO team.
Individual will be assigned to support Clinical Engineers in assessing medical device inventory records, evaluating equipment inventory data such as cost, install date, location utilizing our planning database (Filemaker Pro
Provide analytical and specialized administrative support involving complex details and advanced administrative duties.
Provides research, analysis, and reporting tasks.
Collaborates with staff within and outside the department at all organizational levels to gather information and prepare reports.
Provides complex administrative and project support to department staff using MS Office skills (Word, Excel, MS Project, and PowerPoint
Will support other PMs in organizing and coordinating project schedules, timelines and materials.

Requirements:
Proficiency with MS Office Skill is required.
Minimum five years of administrative and operations support.
Excellent customer service and oral and written communication skills required.
Ability to exercise independent judgment using experience, knowledge, skills, and abilities to make sound decisions.
Experience with medical equipment and healthcare is preferred, not required.

Education:
High School Diploma or General Education Development (GED) required.
