Project: ASLD Salesforce Enhancements
Summary
The Arizona State Land Department (ASLD) has recently released a new Salesforce.com platform that allows customers to file an application online and track its process. Internal staff can then collaborate and process these applications. Since this was just a first step, ASLD is now looking for an outside vendor to develop and deploy various enhancements that will enable additional value to customers and ASLD employees. Planned enhancements should improve user experience, support current business operations and leverage the currently implemented platform’s capabilities. In support of this overall objective the selected vendor will provide services that enable or ensure attainment of the following business objectives:
Implement payment capability through the State of AZ Checkout Utility portal for processing application fees
Implement an API-based integration between Salesforce and ICM ViewCenter, ASLD''s document management system.
Implement a GIS interface for creating and saving geo-spatial mapping in the application process
Create a mechanism to allow customers to see and conduct business on current leases through Salesforce Community / ASLD Application Center
Build workflows for four applications directly into Salesforce and harden the application processing architecture for the applications that are already in salesforce.
Smaller enhancements related to the processing of applications and transacting application related data with the department’s legacy system ERP system OASIS.

It is estimated that work on this project will take an estimated period of approximately 34 weeks, concluding no later than June 30th, 2018.

Scope
The selected vendor will provide business analysis, software development, configuration and quality assurance for the purposes of delivering the defined scope listed below. As part of this the selected vendor will also provide documentation of activities and other deliverables accordingly. A period of discovery and requirements finalization are expected for each of the items listed below:
1. Implement payment capability through the State of Arizona Checkout Utility Portal for processing initial/up-front application fees.
2. Design and deploy an integration platform such as jitter bit/mulesoft with an API-based integration between Salesforce and other land department software/systems.
o ICM ViewCenter integration for displaying documents in Salesforce and sending documents to ViewCenter
o Sending electronic signature of applications created by customers in Salesforce/Forms Assembly to ViewCenter
3. Implement a GIS interface for creating and saving geo-spatial mapping in the application process
o Search, view and capture the data as determined through the application process
4. Mineral Exploration Enhancement to solve for record keeping on a per parcel basis.
o Capture the same information for each parcel and ensure each “application”. One app can create multiple entries in salesforce based on data entered.
5. Build the departments remaining four applications into Salesforce and harden the application processing architecture
o Gather requirements for workflows and status.
o Form Assembly Connector configuration.
6. Create the mechanism to allow customers to see and conduct business on their current leases through Salesforce Community / ASLD Application Center
o Application history view
o Displaying lease information relevant to the Customer
Display current leases and the information related to each lease
7. Ability to renew, assignment, improvement, sub-lease, amendment from given lease through ASLD community portal
8. E-Signature and Electronic Notary
o Adobe Sign (remove form assembly mechanism)
o Solve for 1+1, 2+2, 1+Many signature scenarios
o Potential for independent solution from e-signature: Create capability to print applications for purpose of public information and record keeping
