Proposal Coordinator, McLean, VA

Description of specific Duties in a typical workday for this position:

Develop proposal calendar with milestones and review dates
Work with Proposal Manager to update proposal plan
Supports the Proposal Manager to develop and maintain the proposal schedule and associated deadlines
Maintain graphic and text logs
Create and maintain team member contact list
Establish and maintain files (electronic and hard copy) by setting up directories on the proposal site, coordinate access to files, and reviews stored files for organization, applicability, and version control
Receive and send proposal materials to internal and external team members
Primary point of contact for collecting, compiling, and formatting proposals
Establish and maintain distribution lists for proposal material to the proposal and review teams
Develop and maintain templates and standards for proposal preparation materials
Handle meeting logistics, including preparing agendas, taking and distributing meeting minutes, and prepare materials as needed
Maintain issue/action items lists
Provide desktop publishing, copying, distribution, and form development support
Coordinate with graphic designers for covers, spines, backs, CD labels, and graphics
Serve as the point of contact for requests for proposal related information
Photocopy, assemble, quality book check, and package technical and business proposals, as required
Manage small task order proposals to include creating compliance matrices, outlines, schedules and other assignments as required
Integrate, format, and publish iterative section drafts, Review copies, and the final proposal master for both the Technical and Business Proposals
Minor graphic production, as needed
Drive the maintenance and population of re-use libraries; ensure all information is current, comprehensive, and accurate
Provide proofreading/editing support as required
Attend, participate, and facilitate team and proposal meetings

Position Requirements:

Leadership potential and ability to be a team player
Minimum of 4 years’ experience in an administrative role supporting multiple projects is required, or 4 years of previous proposal coordination experience preferably in the federal government contracting arena
A high school diploma, or equivalent, is required; post-secondary degree is preferred
Proactive, organized, with strong attention to accuracy and detail, and strong time management skills
Demonstrated ability to handle multiple priorities in a fast paced environment
Strong administrative and organizational skills
Strong written and oral communication skills
Experienced in Federal Government procurement process, RFI, and RFP responses
Proficient in Microsoft Office software suite
Experience with graphics software is preferred
May be required to work beyond business hours when necessary, and travel as required to meet deadlines

Bachelor’s degree in English, writing, journalism, or related field
