Role: Project Coordinator
Location: Pleasanton/Dublin, California.
Duration: 8 months
Rate: $market All Inclusive
 
 
Project Coordinator manages daily project activities in conjunction with project director and senior project managers who provide centralized oversight/structure to multiple VP areas in executing complex, organization-wide project (HospitalTransition Project Coordinator responsibilities include working closely with the Project Director to prepare comprehensive action plans, including resources, contracts, budgets for projects. You will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling financial queries. To succeed in this role, you should have excellent time management and communication skills, as you’ll collaborate with clients and internal teams to deliver results on deadlines.
 
 
Responsibilities

Coordinate project management activities, resources, equipment and information
Manage project SharePoint site access
Manage Project distribution lists
Maintain/ keep current the staff list on the project
Prepare/ maintain project organization and communication charts
Issue/ Risk/ Action Items management for the Project, in partnership with the Project Director and Project Managers
Coordinate management of contracts, and invoices for the project
Coordinate internal and external resources for flawless execution of IT projectsnbsp; Acts as primary resource for organizing and scheduling project related meetings and documents follow up items with due dates and responsible parties for each item outlined in the meetings
Maintain communication links to all relevant parties and to project logistics and calendars including presentations, meeting notes, action items, project schedules, etc.
Set up meetings and distribute minutes to all project team members and follow-up on action items
Responsible for on-going communications and project updates
Collate project status reports from all teams, ensure they are adhering to standard work
Help prepare budgets, powerpoint presentations
Draft on-going and ad hoc communications and newsletters
Assist Project Director create standard work artefacts for the project
Monitor/ track hours worked on Project by all teams
Track and audit project documentation and deadlines
Onboard/ Orient new team members to the project, and organization
Coordinate of planned activities/ milestones for the project
Manage calendar for the Project Director and Project Calendar
Liaise with clients to identify and define requirements, scope and objectives
Assign tasks to internal teams and assist with schedule management
Make sure that clients’ needs are met as projects evolve
Work with the Project Director to eliminate blockers
Use tools to monitor working hours, plans and expenditures
Ensure standards and requirements are met through conducting quality assurance tests
Other duties as assigned

 
Qualifications/ Abilities/ Skills

Proven work experience as a Project Coordinator or similar role
Excellent communication and project coordination skills, 3 years required
Expert skill-level in using Microsoft products (Word, Excel, PowerPoint, Visio, etc)
Expert with Outlook scheduling, WebEx, telepresence
Ability to understand information flow and solve problems under pressure.
Ability to work with ambiguity
Ability to work with all types of individuals and communicate clearly and with confidence.
Ability to identify potential process review/improvement opportunities
Ability to work under direct supervision, collaboratively in teams/ partners, or independently.
Ability to prepare and interpret flowcharts, schedules and step-by-step action plans
Solid organizational skills, including multitasking and time-management
Experience working in a team environment
Experience interacting with senior and executive level staff
Experience managing work and relationships in a volatile environment
Experience using Microsoft Project is a bonus
Read, understand, comprehend instructions with minimal directions
Understanding of project management, from conception to delivery


 
Preferred Qualifications:
Ø  CAPM (Certified Associate Project Manager)
