PROJECT SPECIFICATIONS AND SCOPE OF WORK

SCOPE OF WORK
The Consultant shall provide the required professional project coordination, research, communications planning, meetings facilitation and stakeholder engagement services. There would be some overlap in the anticipated tasks, which will include, but are not limited to, the following:
Task 100 – Meeting Facilitation and Reporting

Tasks and Potential Deliverables:
Coordinate with project staff to plan and execute up to 65 two-hour stakeholder working group meetings for up to 18 Community Connections projects.
Facilitate meetings of approximately 10-20 stakeholders (city staff, staff from community-based organizations, employer representatives, and residents or employees from the community
Serve as the primary point of contact with the stakeholder working group including coordinating with the group and Metro’s external partners to schedule meetings, distribute materials, solicit input, and facilitate discussion.
Develop a draft agenda for team review and incorporate comments into a final agenda.
Package and distribute all relevant supporting information and materials to share with working group members in advance of each meeting, as needed.
Assist with meeting setup, provide meeting facilitation and documentation, and assist with meeting breakdown

Following approval of the summary, distribute the document to the working group, along with discussion of other action items and follow-up.
Coordinate with the stakeholder group to solicit and identify dates for future working group meetings.

Task 200 – Project Management and Coordination
The consultant shall provide project management and administration services to facilitate the successful completion of assigned tasks under this work order.
Potential Deliverables:
1. Monthly invoices
2. Monthly progress report updates
3. Budget tracking
