Business Analyst / Project Coordinator
Location: Detroit, MI
Duration: 14-15 Months

Primary Function:

Project Coordinators / Business Analysts are individuals within the IT Delivery Management job family responsible for working closely with the Delivery Leads for successful completion of projects.



They follow and maintain project management standards and procedures. They are responsible along with the Delivery Lead to perform tasks like work plan management, resource plan maintenance, SharePoint maintenance support, Budget and Financial Reporting and Project dashboard and CIMS maintenance.



They schedule meetings and document meeting minutes, meeting action items and follow-up. They document, track, issues and risks; including timely update of issue/risk logs. They document risk mitigation plans and issue resolution action plans.



Under general direction and coaching, adheres to client IS Project Management standards, policies, procedures, and methodologies. Performs complete range of standard administrative duties by utilizing appropriate PC and web applications to prepare and distribute correspondence, status reports, minutes, numerical data, tracking of project assignments, charts and forms in an accurate manner.



Assists project and program managers in creating and maintaining project planning documents and reports. Provides project metrics, resource plan, project staffing plan to DL for analysis and reporting to IT leadership.



Typical Responsibilities Work Plan Management

- Create and update Workplans during the project life-cycle

- Add project tasks, resources, hours, applications, releases, milestone, department information, etc.

- Monitor task for completions

- Edit and Close project tasks

- Follow guidelines from Project Management Office regarding workplan maintenance

- Verify and accept weekly resource time

- Publish and Baseline weekly

- Assist project resources with MSP time entry

- Adjust work plan as instructed by DL



Resource Plan Maintenance

- Add project resources

- Monitor resource activities to match workplan

- Generate a Staffing plan and forward to Delivery Lead for review, and changes.

- Adjust resource plan resources as instructed by the DL



SharePoint Maintenance Support

- Add resources to SharePoint with correct access (maintain security access)

- Add documents to SharePoint as instructed to Key Deliverables library, and/or other libraries as required

- Remove users access when instructed

- Ensure documents required for project milestones are captured



Budget and Financial Reporting

- Monitor financials and report any discrepancies to DL

- Edit/run weekly financial burn reports to DL

- Edit/run resource plans

- Edit/run Non-Time Reporting (NTR) reports

- Edit/Run Project Summary reports



Project Dashboard CIMS maintenance

- Update monthly project financials after approval from DL

- Document, track and help manage issues and risks, including timely update of Issue/Risk log

- Update Issue/Risk as instructed by the DL

- Use CIMS process to close Project Milestone(s)

- Process all Change Control requirements and once approved by DL submit for approval

- Milestone tracking and monitoring



Project Delivery Assistance

- Adhere to client IT Project Management standard, policies, procedures and methodologies.

- Provide support to ensure client/customer service expectations are met

- Meeting Managements include attend project team meetings upon request

- Perform standard administrative duties by utilizing appropriate PC and WEB application to prepare and distribute correspondence, status reports, minutes and charts in an accurate manner.

Typical Education/ Experience

- Bachelor’s degree in related field preferred.

- Minimum of 3-5 years of administrative / project support experience. and knowledge of project management required.

- Knowledge of project management tools and methodologies.

- High proficiency in Microsoft Project (MSP), MS SharePoint, Word, Excel and PowerPoint. MSP Server experience is preferred.
