Title: Retail Construction Program Manager/Coordinator

Location: Beaverton, OR
Duration: 3 Months

Responsibilities:
Project Preparation/ Approval
- Drive alignment on responsibility list with territory Real Estate Teams
- Drive decision on whether measured survey is required in case CAD drawings are not available
- Drive, organize and manage REC SC call to ensure that material is ready for territory alignment call. Align and collaborate with Ashley and Jorge regarding same.
- Validate, challenge and work to drive down costs estimates per territory and report final costs to Jorge for tracking.
- Clearly detail and define with territory teams the scope of work between client vs LL.
- Validate and seek to advance the best SC project setup leading into our alignment calls.
- Oversee the PM checklist aligning dates and deliverables.
- Drive LEED implementation per project

- Design
- Lead and drive the design phase from preliminary design until design freeze in partnership with Ashley ensuring we track and meet our deadlines.
- Identify and call out deviations from our Geo design direction.
- Identify and call our deviations from our NFS manual direction.
- If deviations are identified, drive the necessary corrections required and report challenges.
- Validate the final drawing pack to ensure that it follows Geo direction.
- Obtain 360o photo report to validate execution + façade and exterior signage.

- Planning
- Oversee the financial tracker and provide updates on a weekly basis (cc: Edith + Jorge+ team)
- Drive PO creation with all vendors prior to date of possession. 90% of project costs should be visualized prior to DOP.
- Drive GC selection based on bid results and support the decision made on selection.
- Provide visibility on the permitting application date and ensure that a copy of the permit application and permit are archived.
- Ensure that the Lease pack for LATAM and SA is delivered 7 wks after project kick-off and shared with RE and lease admin.
- Support the introduction and advancement of the lease pack in ASIA.
- Provide a copy of the GC contract prior to DOP.
- Implement the PM check list in territories and track progress.
- Report on the conditions of the space 1 week prior to handover and callout out potential risks prior to DOP.

- Construction
- Ensure that certificates of delivery are signed on DOP and share document with the Geo.
- Offer thoughtful solutions to issues that arise during construction and keep GEO SC director informed and up to date on same.
- Ensure that punch project punch lists are completed max 1 day after OPS handover and shared to all in GEO

- Close Out
- Drives punch list resolution - 1 month after opening all pending items should be resolved.
- Ensure that as built drawings are completed within 1 month of opening.
- Drive facilities handover max 6wks after opening by setting up a call with all parties involved to ensure that all required documentation is provided.
- Report financial closure 11 wks after opening. Q4 projects financial closure should be delivered 2 weeks prior to the end of fiscal year.
- Capture learnings from projects and share results on weekly calls (LATAM/ASIA)

- Communication
- NFS master plan delivered on a weekly basis (cc: Edith, Jorge, Ashley+ Brent)
- Set up weekly calls for Latam and Asia (cc: Ashley Agarpao) - Drive weekly calls with teams to get visibility and feedback on timelines.
- Drive design direction per project - design guidance needed should be aligned with Ashley
- Drive project execution by following up on PM Check list.
- Callout out potential issues in terms of time, cost and quality in a timely manner to prevent projects from falling behind.
- Support Geo business strategies and provide advice on best practices for implementation.
- Share early and clearly process variations in territory

Skills:
